Provide organization with strategic tools.
Lead in the administration of the project portfolio database Partner with Program Managers and the cross functional Project Teams to ensure the submissions are created in alignment with established templates and accurate information is submitted to successfully meet reporting and meeting timelines.
Support project managers and cross functional project teams in the preparation of their content and presentations for the Therapeutic Global PAB.
Partner with Program Managers for the top 10% priority projects to gather and understand drivers and implications of project KPI’s as they are originally outlined and then through subsequent changes.
Develop and maintain applicable standard project and reporting templates and tools providing training and direction to new Program Managers as well as new functional members or participants.
Lead in the development and maintenance of a Global SharePoint Site that organizes and updates central project documents in a user friendly manner and manage access to the site for users/customers.
Prepare reports, dashboards and score cards.
Data collection, verification of data integrity, analysis, editing, collaboration with data owners and formatting of project and resource data.
Create presentations – both regularly scheduled and ad hoc as business needs arise.
Work with PAB leadership to develop and maintain agenda for PAB, coordinate meetings, minutes/actions, and deliverables.
Ensure meeting requests, rooms, meals, lodging blocks, are arranged as necessary.
Develop a system to track, organize, and communicate PAB action items.
Assist the PAB on recommended process improvements.

The Project Analyst is responsible for supporting the planning, scheduling, monitoring, controlling analytical and other tactical aspects of portfolio projects and initiatives for the Olympus Therapeutics Business. The incumbent will report into Global Program Management Office yet work very closely with the members of the Strategy & Portfolio Management Office team to establish an administrative framework for the Therapeutic Business project portfolio, including creating and maintaining a project database, reporting process, central project document repository and KPI tracking mechanisms. The Global PMO will work directly with the Regional Program Management Offices in Japan, Europe and the United States to standardize dashboards and KPI reporting. A key part of the Project Analyst role will involve cross functional communication and collaboration with different regions to gather and validate data for all programs and projects. The incumbent will be responsible for creating and maintaining reports and dashboards as well as generating ad-hoc reports as business needs arise. He/She will also be asked to help design and produce regular portfolio updates and communication to executive management and the Therapeutic Solutions Project Approval Board (PAB). The Project Analyst will strive for continuous improvement in the collection, analysis, storage and communication of information to and from our business partners. Mastery of Excel, Microsoft Project, and Access Databases & SharePoint is highly desirable.
Bachelor's Degree or equivalent in Engineering, Finance, Business Management, Project Management, or related field.
Minimum of 2 years related experience as a Business Analyst, Communications, or related field.
* Ability to travel up to 10%.
Demonstrate strong mathematical or bookkeeping knowledge to support monitoring the integrity of data at the detail and the summary level.
Excellent attention to detail with analytical and problem solving skills and proven expertise in creating ad hoc reports or dashboards to analyze and evaluate data.
Experience in developing presentations and communicating data analysis or results.
Ability to support multiple projects and balance priorities with minimal direction.
Demonstrates excellent oral and written communication skills with good active listening skills.
Demonstrates strong organizational and planning skills; strong interpersonal and relationship building skills with ability to work in a team environment.
Expert knowledge of MS Project, Excel, PowerPoint.
Data manipulation, download and upload experience.
SharePoint site, Oracle and/or SAP experience.
Capable of large scale event coordination and facilitation.
