Job Requirements::

REQUIRED QUALIFICATIONS:

  • High School Diploma or GED equivalent is required. Bachelor's Degree in a relevant field is preferred.

  • Minimum of 2 years in A/R or data entry experience in an office environment is required.

PREFERRED QUALIFICATIONS:

  • Previous experience working with a major ERP/CRM application is preferred.

  • Familiarity with sales and use tax regulations is desired.

  • Experience with Wide Area Work Flow and internet billing submissions is desired.

  • Accurate data entry skills are necessary.

  • Competency in Microsoft Office, including Excel, is essential.

  • Ability to meet strict deadlines is necessary.

  • Ability to prioritize and manage multiple activity streams is desired.

  • Effective personal organization and time management skills are essential.

  • Excellent verbal and written communication skills are a must.

  • Must be able to communicate and work effectively with all levels of management.

  • Meticulous attention to detail and strong problem solving skills are necessary.

Job Duties::

  • Post A/R invoices to the General Ledger using NetSuite and Visual Financials.

  • Follow invoicing instructions as per requirements noted on sales orders and purchase orders.

  • Review invoices against sales orders, purchase orders and general ledger reports for accuracy.

  • Distribute invoices via USPS, courier and electronic mail from daily batches and upon request from customers and co-workers.

  • Submit invoices online through customer’s billing websites as required.

  • Work closely with Finance, Commercial Operations and Service to research and resolve inquiries.

  • Assist with monthly reconciliations, audits and special projects.

  • Charge customer credit cards.

  • Obtain Certificates of Origin from the Waltham Chamber of Commerce as needed.

  • Miscellaneous tasks to support the Billing, Cash Applications and Collection groups as needed.

  • Adhere to all Olympus and JSOX policies and procedures

  • Perform all other related duties as assigned.
